• Registration fees only include the stated activities and certain meals at the event. Additional expenses like travel, accommodation, insurance and additional meals are your sole responsibility.
• Registration for the event and optional activities are limited in capacity. You are encouraged to register early.
• Your registration will be confirmed only after non-refundable payment has been received even if you have received a confirmation email. You are encouraged to reach out to the Registration Committee at registration@nazc2024houston.com if you do not see payment posted to your credit card account within 10 days after receipt of a registration confirmation email. If no payment is received or reversed for any reason, your registration is automatically canceled.
• Any early bird rates and/or other promotions will only be available during the availability window and other terms thereof. You are encouraged to register all individuals in your family early. We are unable to honor any special rates for additional family members that register later.
• Registration and admission to various events is subject to capacity restrictions determined by the venue and authorities.
• The event is strictly a drug free event. Further, in the state of Texas it is illegal to supply alcohol to anyone under the age of 21 years and it is illegal to consume, possess or supply certain drugs. Registrants are required to follow all rules and regulations regarding drug and alcohol of The Royal Sonesta Houston Hotel.
• All registrants agree to conduct themselves in a civil and respectful manner, following all applicable guidelines, policies, rules and regulations and agree to maintain an atmosphere free of harassment, exploitation, intimidation and discrimination. Violators will be removed without any warning or refund, reported to The Royal Sonesta Houston Hotel security or other personnel and/or reported to law enforcement authorities.
• All registrants irrevocably authorize photography, videography or other recording of their person and property including but not limited to, editing, altering, copying, exhibiting, publishing, or distribution thereof. In addition, registrants waive any right to inspect or approve the finished product wherein their likeness appears. We are also in no way responsible for any social media posts or photography, videography or other recording by third parties.
• Although The Royal Sonesta Houston Hotel is the venue and convenient accommodation for the event, registrants are encouraged to make their own judgment regarding their accommodation choice and options.
• The Royal Sonesta Houston Hotel has a special nightly rate only for individuals who are registered for the event. If you wish to take advantage of such special rate, register all individuals that will be guests at The Royal Sonesta Houston Hotel before making the hotel booking to avoid confusion and additional hotel charges, penalties and/or other consequences. We will not intervene in disputes with The Royal Sonesta Houston Hotel. You agree that your names, addresses and/or any other information provided for registration may be used to verify individual or room block hotel bookings.
• Registrants agree to comply with all applicable guidelines, recommendations, policies, regulations and rules of the hotel and local authorities, including but not limited to, those related to noise, conduct, COVID-19 vaccination, face covering and social distancing.
• Registrants shall be solely responsible for any and all fines, penalties and/or fees of any nature or kind and other consequences related to or resulting from any violations.
• Although The Royal Sonesta Houston Hotel has informed us that they have 24-hour security, you are responsible for your own belongings. It is advised to not carry any valuables and keep other belongs locked.
• In case you falsely activate a smoke or other alarm you will be solely responsible for any and all hotel charges and all other consequences.
• Participation in the event activities are voluntary and at your own risk. If you are not comfortable, do not participate.
• Parents are fully responsible for their children and guardians are fully responsible for their wards, as applicable.
• Purchases made through vendors or service providers at the event are at your sole risk and responsibility. We will not intervene in disputes with any vendor or service provider.
• If you require a visa to enter the United States, visa procurement is your sole responsibility. If a letter is needed for visa purposes, the registrants should send the request to contact@nazc2024houston.com with proof of registration for each attendee. There will be no refunds, other than the stated refund policy, for visa related issues including but not limited to, lack of support from the organizers of the NAZC 2024 Houston.
• By registering, the registrant (and primary registrant on behalf of itself and its secondary registrants, if applicable) (the “Indemnifying Party”) releases and agrees to defend and indemnify the NAZC2024 organizers, ZAH, FEZANA and all of their sub-bodies, and each of their directors, officers, employees, volunteers and agents of all tiers, for any and all claims, demands, losses, causes of action, damages, loss, lawsuits, judgments, penalties, expenses, fees (including but not limited to, attorneys’ fees and costs) related directly or indirectly to (i) any and all injury (including death) to the Indemnifying Party’s person and any and all damage to Indemnifying Party’s property, howsoever caused and of whatever nature, and/or (ii) any and all injury (including death) to any person and any and all damage to property of whatever nature or kind, caused directly or indirectly by the Indemnifying Party’s actions, omissions, negligence, gross negligence or willful misconduct.
• Registrants agree that in all matters relating to the event, the Co-Chairs joint decision after any necessary consultation with the Core Committee of NAZC2024 Executive Committee, ZAH and Board of FEZANA, shall be final and binding.
• By registering, all registrants agree that they have read, understand and accepted these terms and conditions and are voluntarily participating in the event.
• The term “registrant” or “Registrant” as used herein refers to all adult registrants whether primary or secondary and all primary registrants on behalf of its secondary minor registrants, as applicable.
• These terms and conditions are subject to change at any time.
Cancellation & Refund Policy:
While we understand that sometimes registrants may need to cancel their attendance at the Congress , we incur fixed costs and are required to meet certain minimums, confirm and pay for the facilities, catering and activities in advance of the Congress. We are unable to offer full refunds and the following refund schedule and terms shall apply:
• All cancelation requests must be received at registration@nazc2024houston.com to be valid
• Full refund minus 15% (Administrative Fee) and any and all applicable bank charges, for cancelation requests received on or before August 31, 2024
• Full refund minus 50% (Administrative Fee) and any and all applicable bank charges, for cancelation requests received after September 1, 2024
• No refunds for cancelation requests received after October 15, 2024.
Visa Rejection Cancellation: In the unfortunate circumstance that a registrants visa is rejected, the registrant will need to provide documented proof of the rejection from the US Consulate where they applied. Each refund request shall be considered on a case-by-case basis upon submission of request and the relevant documentation. Full refunds minus any and all applicable bank charges may be issued for requests received prior to November 1st, 2024. No exceptions shall be made to the above.
All refunds will be in US dollars and will be made to the same credit/debit card used for registration. All applicable bank charges will be deducted from all refunds.
